Job Purpose

Reporting to the Sr. Director Education, Talent Development and Brand Education and Artistry, this job will provide administrative support and coordination for the function.

 

Job Responsibilities

Session Logistics (50%)

  • Monitor logistics execution for internal Learning & Development workshops/sessions with internal and external partners

  • Create and communicate key timeline details for upcoming events/sessions

  • Maintain a systematic communication method with external event management company

  • Scheduling and communication of meeting requirements for external facilities

  • Facility management of Sephora University (Toronto FSC) in partnership with the Office Manager

 

Budget & Administration (15%)

  • Process and track training expenses vs. budget
  • Review and process invoices for payment
  • Complete monthly American Express Meeting Card reconciliation and coding (via American Express @ Work)
  • Assist with Canadian administration for MySephoraLearning (Cornerstone OnDemand based LMS system)
  • Maintenance of records for Sephora’s global KPI report and LVMH’s social audit

 

Reporting (25%)

  • Assist with generation of various weekly/monthly/yearly reports for organization

 

Communication & Process Improvement (10%)

  • Communicate information to stores via various communication methods and tools
  • Coordinate and follow up on department projects as needed
  • Update store intranet material as needed and assist with special projects as needed
  • Other duties as required

 

Skills and Experience Requirements

  • Minimum 2-3 years’ experience with event logistics and/or training administration

  • Ability to multi-task, problem solve and drive complex priorities
  • Strong ability to work independently in ambiguous situations
  • Team player and flexible attitude
  • Able to hold sensitive and/or confidential information in confidence
  • Excellent oral and written communication skills (preferred experience with business communication, and project updates)
  • Strong organizational skills with attention to detail and the ability to prioritize
  • Advanced Microsoft Excel skills essential – (advanced Formulas (VLOOKUP’s, SUMIFS, etc), Pivot tables and reporting, conditional formatting, advanced charting)
  • Strong computer skills essential – Microsoft Office (Word, Outlook, PowerPoint), Smartsheet, Box
  • Familiarity with event online registration and LMS (Learning Management System) Administration preferred
  • Bilingual, both written and spoken is a significant asset
  • Minimal Travel (0-5% total)
