As Coordinator, Inbound Transportation & Customs Operations, you’ll support cross‑border and domestic inbound shipments from origin through delivery to our Canadian distribution centers and stores—meeting service level targets and ensuring full compliance with Canadian customs regulations. The work you do will impact beauty, as you coordinate with vendors, carriers, and customs brokers to keep product moving—reviewing commercial documentation and HS classification, supporting customs clearance and post‑entry audit efforts, and proactively resolving or escalating transportation/clearance risks. What You’ll Do:
- Support Importer of Record inquiries from customs brokers and import couriers
- Review and validate import documentation to ensure compliance with CBSA and other regulatory requirements
- Act as a key liaison between customs brokers, carriers, internal business partners, and external vendors to obtain and distribute required documentation
- Review commercial invoices at time of import for accuracy, completeness, and regulatory compliance
- Identify and correct missing or inaccurate customs data, including HS classification, valuation, Incoterms, country of origin, and commodity descriptions
- Audit post‑entry data to ensure accuracy, identify discrepancies, and report findings to leadership
- Request and manage required vendor documentation, including commercial invoices and applicable free trade agreements
- Approve, schedule, and track inbound shipments using the Transportation Management System (TMS)
- Monitor shipment activity, proactively identify potential delays, and coordinate timely resolution with internal teams and carriers
- Manage carrier and vendor inquiries through the Canada Logistics inbox
- Maintain accurate import and inbound transportation records in accordance with retention requirements using SharePoint
- Manage data files, including Excel records and PDF documentation, and maintain shared files with brokers and carriers
- Audit freight and broker invoices, support payment processing through Coupa, and ensure invoice documentation retention
- Identify issues requiring escalation and communicate risks to stakeholders in a timely manner
- Maintain CCS designation and stay current on CBSA regulations through broker communications, CSCB updates, and Canada Gazette releases
- Support reporting, process documentation, and continuous improvement initiatives across customs and inbound transportation
What You’ll Bring:
- 2+ years of relevant experience in customs, inbound transportation, or global trade
- You hold a Certified Customs Specialist (CCS) designation and stay current on Canadian customs regulations
- Strong working knowledge of CBSA requirements, including CARM, HS classification, LVS & HVS imports
- You’re confident reviewing and validating import and transportation documentation, including CAD, B3, and B2 forms
- You’re technically savvy, with experience using Transportation Management Systems (TMS), broker portals, CARM, and Excel (intermediate proficiency required)
- You’re comfortable tracking cross‑border shipments, managing exceptions, and proactively resolving issues
- Sharp attention to detail, strong risk awareness, and a commitment to accuracy and compliance
- You’re highly organized, thrive in fast‑paced environments, and can manage multiple priorities with ease
- You value strong record keeping and data integrity, maintaining accurate documentation and audit‑ready files
- Formal education in Supply Chain, Logistics, or Global Trade is an asset
